Client Records and Consultation Notes That Protect You

What every consultation note should include to protect both the client's hair and your salon from avoidable disputes.

A client dispute over a color result is far easier to resolve when there is a written record of what was discussed, tested and agreed before the service began. Without notes, it becomes one memory against another.

Record more than the service name

A note that says color treatment tells you nothing three months later. A note that records the formula used, processing time, any patch test result and the client's stated goal gives the next stylist, or you in a dispute, something concrete to reference.

Note allergies and sensitivities every time

Do not assume last visit's notes still apply. Ask about new medications, pregnancy, or reactions since the last appointment and log the answer, even when it has not changed, so the record itself shows the question was asked.

  • Formula, brand and processing time for any chemical service
  • Patch test date and result when relevant
  • Client's stated goal in their own words, not just the technical outcome
  • Any product recommended and whether the client accepted it
  • Photos of before and after when the client consents

Keep notes attached to the client, not the appointment slip

Use notes to prevent repeat problems

Train staff to write notes the same way

Inconsistent notes are almost as unhelpful as no notes. Give staff a short template to fill in after every chemical or new service, so records are comparable across the whole team.
